The Bugatti Trust, located at Prescott Hill, Gotherington, Gloucestershire, is seeking an Archivist for its renowned historical archive – the largest working Bugatti Archive in the world. Established in 1987 by Hugh Graham Conway, the Trust houses over 27,000 technical drawings, 10,000 plus photographs, and thousands of historic documents. The role is part time (with a minimum of 21 hrs a week) or full time with a salary dependent upon experience. The post requires occasional weekend work and regular Friday work from March to October. A full driving licence is essential.

The Archivist will support the Senior Archivist in managing daily operations, including cataloguing, digitising, and moving both physical and digital archive materials. Key responsibilities include maintaining accurate computerised records, completing the digitisation programme, identifying technical drawings, assisting with exhibit maintenance and creation, and producing exhibition-quality photographic files for publications. Duties also involve filing, retrieving, and returning archived documents, scanning and integrating new materials, preparing files for storage or destruction, supporting newsletter production, and covering reception duties. The Archivist will also be required to welcome visitors as and when required to the established museum which is open all year round.

Candidates should demonstrate excellent organisational, administrative, IT, and communication skills, attention to detail, manual dexterity, and the ability to work both independently and as part of a small established team. Flexibility, initiative, and a genuine interest in history and record preservation are essential. Beneficial skills include experience with scanning hardware/software, Photoshop, archival software, motoring history, technical aspects of motor vehicles, and proficiency in French. Previous experience in a similar environment is advantageous but not required.

The Company

The Bugatti Trust is an independent UK registered charity (registration number 298099) with educational aims and objectives dedicated to the study of the works of Ettore Bugatti and preservation of the heritage of the marque. Founded in 1987, The Bugatti Trust has the largest historical working Bugatti Archive in the world, with an unrivalled breadth and depth of expertise and experience. The Trust was created by the late Hugh Graham Conway, with a small group of Bugatti enthusiast friends. H. G. Conway was an internationally acknowledged expert on Bugatti history and the leading Bugatti authority of his time. The original archives of the Trust were donated from Hugh Conway’s remarkable collection of historic material and now include 27,000 technical drawings, over 10,000 photographs and thousands of historic documents. The Prescott-based Museum and Study Centre building was funded after the sale of one of H. G. Conway’s Bugatti cars. It is the permanent home of the Bugatti Trust Archive Collection. The Bugatti Trust was officially opened by HRH the Duke of Edinburgh on 16th March 1990. The Archive is made available for academic and educational research to visiting experts and enthusiasts from around the world. The Trust also runs an established educational outreach programme.

The Role

The Archivist will be responsible for supporting the Bugatti Trust’s Senior Archivist to deliver the day-to-day operational requirements of the organisation’s archive service, including the movement and cataloguing of archive material and content, physical and digital.

The successful candidate will be responsible for:

  • accurately updating and maintaining computerised records;

  • completing the final stages of the digitisation programme for the Trust’s Archive;

  • with initially all necessary assistance from the Senior Archivist with the aim of working independently, learning to search for and identify appropriate technical drawings required by customers of the Trust;

  • with initially all necessary assistance from the Senior Archivist with the aim of working independently, answering customer enquiries and completing orders.

  • with initially all necessary assistance from the Senior Archivist with the aim of working independently, maintaining and repairing existing exhibits and liaising with specialists to create new exhibits for display; and

  • manipulating and creating exhibition quality photographic jpeg files for inclusion in books, magazines, auction catalogue and varied digital applications keeping the Curator in the loop.

Specific Duties

These will include:

  • Filing all new documents and creating appropriate computerised records;

  • Retrieving and returning archived files/documents as requested by customers and updating computer records as appropriate;

  • Scanning additional drawings and integrating them into the Archive including creating appropriate computerised records;

  • Preparing all old files for storage and creating computer records to show location;

  • Preparing old files/documents for destruction and overseeing destruction in line with Trust policy;

  • Assisting with preparation of the Bugatti Trust Newsletter

  • Covering reception duties as required;

  • Working closely with and reporting to the Senior Archivist.

  • Working closely with the Curator to integrate accession work and general collection management procedures to maintain the core collection objectives; and

  • Assisting the Curator in the preparation of material for exhibition, PR and educational work.

Skills Required

The successful applicant must be able to demonstrate:

  • The ability to work as part of a small established team;

  • Excellent interpersonal, organisational, administrative and IT skills;

  • Accurate keyboard skills and attention to detail;

  • An ability to show initiative whilst establishing positive working relationships with colleagues;

  • Proven ability to take responsibility for tasks;

  • Excellent written, communication and customer care skills;

  • Manual dexterity as many items are valuable and often irreplaceable;

  • An ability to understand and adopt the Trust’s values and ethos;

  • Genuine interest in history and in preserving records for posterity;

  • Flexibility in the context of a dynamic work environment.

Additional Skills

The following additional skills would be beneficial:

  • Previous experience in a similar working environment would be an advantage but not essential;

  • Working knowledge of scanning hardware/software and skill to use image manipulation software including Photoshop;

  • The placing of images into a physical and online web-based photograph archive;

  • Understanding of archival database management systems or similar software;

  • An understanding of the technical aspects of how a motor car functions would be very helpful though hands-on experience of car maintenance is not essential;

  • A good working knowledge of motoring history; and

  • An ability to speak/decipher/translate the French language.
